Email auto-reply setup

Channels & embedding

Let the bot triage your inbox

Email auto-reply lets your bot read incoming emails to a designated mailbox and either send replies automatically or save drafts for human review.

What you need

  • An email address dedicated to bot replies (e.g. support@yourcompany.com or ai@yourcompany.com)
  • IMAP access for reading incoming mail
  • SMTP access for sending replies

Step-by-step

  1. Open Bot settings → Integrations → Email auto-reply.
  2. Fill in your IMAP host, port (usually 993), mailbox email and password.
  3. Fill in your SMTP host and port (usually 587).
  4. Choose Send mode:
    • Save as draft for review — bot writes a reply, you approve before sending. Safer.
    • Send automatically — bot replies without human review. Faster.
  5. Save.

Tips

  • Start with draft mode. Watch the first 50 drafts to make sure the bot's tone is right before going automatic.
  • Use a dedicated mailbox. Don't point this at your personal inbox.
  • App-specific passwords. If you use Gmail or Office 365, generate an app-specific password rather than using your main account password.

Plan requirement

Email auto-reply is on the Business plan and above.
